Property Check-Out; A Guide For Landlords

Marketing

Our lettings team will contact you to discuss the marketing strategy for your property. Unless instructed otherwise, your property will be re-listed immediately across our website and major property portals, and we will begin contacting prospective tenants.

We will inform the current tenants about viewings and may request permission to install a “To Let” board to maximise exposure. We typically allow around 3-5 working days between the end of one tenancy and the start of another. This provides sufficient time to complete any necessary works, update the inventory, and prepare for new tenants.

If you are planning significant refurbishment works, please inform us so we can adjust the availability date and offer assistance where possible.

Keys

We may require access for viewings, which could involve cutting additional keys if necessary. Any associated costs will appear on your next statement. If you are not re-letting the property, please contact us after check-out and completion of works to arrange key collection.

Energy Performance Certificate (EPC)

Legislation requires a valid EPC (rated A-E or exempt) before marketing a property. Failure to comply may result in substantial fines and could invalidate a Section 21 Notice.

We can arrange an EPC on your behalf.

Electrical Installation Condition Report (EICR)

All new tenancies require a valid EICR confirming that electrical installations are safe. Reports are valid for 5 years, and non-compliance can result in penalties of up to £30,000. We can arrange this for you.

Gas Safety Record

If the property has gas, a valid Gas Safety Record is required. A new certificate is needed if appliances are replaced or if the current one expires before the next tenancy.

We recommend completing this at least 5 days before a new tenancy begins.

Refurbishment Between Tenancies

Improvements can increase rental value and help secure new tenants more quickly. Let us know your plans, we can assist with contractors and project management if required.

Utilities

We will notify utility providers and the council of final meter readings and the tenant’s forwarding address. Accounts will revert to the landlord until a new tenancy begins.

Please note: we cannot guarantee that utility providers will act on our notifications.

Winter Protection

If the property becomes vacant between 1 October and 1 April, we will aim to leave heating on low to prevent frozen pipes.

Insurance

Please ensure your insurance policy remains valid during vacant periods. Some insurers require:

  • Regular property inspections
  • Minimum occupancy periods
  • Draining of water systems

We offer a Vacant Property Service, including inspections, mail collection, and condition reports.

Water Hygiene

If the property is not re-let immediately, all taps, showers, and toilets should be run/flushed before use.

Check-Out Process

Check-outs are usually conducted on the next working day, and we will assess the property against the original inventory, considering fair wear and tear.

Please do not enter the property before the check-out is completed, as this may affect potential claims.

Check-Out Report

A detailed report will be produced within 48 hours, outlining:

  • Tenant-related issues
  • Maintenance items
  • Recommendations

We will review this with you before taking further action.

Damages & Deposits

The tenant’s deposit may be used (by agreement) to cover damages beyond fair wear and tear. Betterment (improving the property beyond its original condition) is not permitted.

Fair Wear and Tear vs Betterment

  • Fair wear and tear: Natural deterioration from normal use
  • Not included: Dirt or damage that can be cleaned or repaired
  • Betterment: Charging tenants for improvements is not allowed

Contractors & Repairs

We will arrange agreed works promptly after check-out unless instructed otherwise.

Costs are initially charged to the landlord and later reimbursed via:

  • Tenant deposit
  • No Deposit Option (if applicable)

You may be asked to provide funds in advance if required.

Deposit Returns

Undisputed deposits are typically returned within 10 working days.

Unpaid Rent

Deposits may be used toward unpaid rent (subject to agreement). Any shortfall can be pursued through the Small Claims Court.

Overpaid Rent

Tenants must be refunded any overpaid rent promptly. These funds cannot be withheld for end-of-tenancy costs.

Inventory Updates

We will update or remake the inventory between tenancies where required. Please inform us of any changes to the property.
